How to Increase Productivity at Work

Work can often feel like a never-ending to-do list. Here are seven ways to increase productivity in the workplace.

Work can often feel like a never-ending to-do list. To make it a little easier, incorporating simple productivity tools can help improve overall effectiveness. Here are seven ways to increase productivity in the workplace:

Set Clear, Obtainable Goals

Work towards documenting and defining clear goals. These can be for what you want to accomplish that day, week, month, or year. Select a timeline that works for you and realistically breaks down your tasks into smaller ones, making them more manageable.

Utilize Order of Importance

While to-do lists can feel daunting, taking a moment to itemize and list what is most critical or requires a solid amount of time first and moving items less critical further down the list can help make it less stressful. Take it further and utilize proven prioritization methods, such as the ABCDE Method, Eisenhower Matrix, Scrum Prioritization, or the Eat the Frog approach. A quick Google search can explain each one. Select the method that makes the most sense to you, or try a few out and see which you prefer.

Use Time Management

Many time management tools, like the Pomodoro Technique and prioritization methods, are available. These methods lean into times of solid work with breaks to help you recharge and maintain focus and productivity. Here are some ideas to help with time management:

  • Set reminders on your calendar.
  • Add time blocks to your calendar to focus on essential tasks and ensure a solid hour or more to focus on critical projects.
  • Set your schedule with a written hour-by-hour planner at the start of each day.
  • Write down tasks for the day or week and check them off as you complete them. A visual representation of your work and accomplishments helps you stay organized and track progress.

Minimize Distractions

Create a dedicated, clutter-free workspace so you can focus. Identify what distracts you most (your phone, social media, office noise) and find ways to minimize these interruptions during work hours. Silence your phone, turn off notifications, use website blockers, or move to a quiet room to avoid distractions.

Take Short Breaks

Stepping away from work every hour keeps you fresh and focused and prevents burnout. Use breaks to stretch, walk, step outside, or check in with a coworker.

Learn to Say No

Work on setting boundaries for projects and workload. When possible, say no to requests that don’t align with your priorities or capacity. If an issue arises, discuss your workload and concerns with your manager. When possible, try to share tasks with colleagues to lighten your load.

Establish a Routine

Develop a consistent daily routine with dedicated time for work, breaks, and personal activities. Consistency can enhance productivity and alleviate stress when figuring out where to start or what to tackle first.

Review and Adjust

While these tips can significantly boost your productivity and help you achieve your work goals, everyone is unique, so find what works best for you. It also never hurts to ask your coworkers what they do to help them work efficiently.
